Job Purpose:
To provide full support to Land & Development Director and administration support to the Land and Design teams.
Responsibilities and Accountabilities:
* Providing full PA support to Land & Development Director (LDD).
* Extensive diary management and co-ordination LDD’s diary and actions.
* Managing and organising her inbox, responding to emails where appropriate.
* Completion of expenses.
* Monitoring holiday and communicating to MD’s PA.
* Preparation of monthly reports, printing and binding documents to tight deadlines.
* Regularly updating Land Bible of key documents and reports.
* Assisting MD in MD’s PA’s absence.
* Providing materials and refreshments for LDD’s meetings to ensure run smoothly.
* Set up any IT required for meetings/Provide Agendas/Minutes etc.
* Arranging corporate hospitality events such as Royal Ascot, Royal Albert Hall etc.
* Arranging tours of Marketing Suites and/or Site Offices/Visits for key persons from Local Authority, Agents or other Berkeley Group personnel.
* Managing key Land agents tracker to ensure LDD keeps relationships and arrange breakfasts/lunch/ dinners as appropriate.
* Be willing to be one of the Berkeley Group Foundation Charity Representatives and help organise charity fundraising events.
* Providing admin support to Land team:
* Co-ordination of invoices and purchase orders and maintaining tracker documents.
* Typing minutes.
* Picking up overflow calls and taking messages.
* Adhoc help with market research, planning portals.
* Downloading information from datarooms and filing on system.
* Monitoring department’s holiday and adding to calendars.
* Taking calls from land owners and passing to team and monitoring.
* Download Data Room information for new sites and file on online system.
* Download and search for planning applications via planning portal.
* Arranging social engagements and client entertaining including breakfasts/lunches/dinners.
* Arranging department parties and team building.
* Covering Reception in periods of absence/holidays.
* Providing additional support to Design Director and team who work alongside the Land department.
Person Specification:
* Minimum of 4 years’ experience in similar role
* Excellent knowledge of Outlook and Word. Good knowledge of Excel and Powerpoint.
