Role Description
The UK Office/ Administration Manager will be the most senior of only two paid employees, acting as a manager to a small team of volunteer staff, while providing proactive and hands on support to the Trustees as they lead the charity through the next phase of its development.
We are looking for an experienced office / administration manage who is a self-motivated and organised individual with experience of developing and implementing administrative systems, working independently or as part of a team.
Hours: Up to 35 hours per week (open to requests for job sharing and flexible working)
Salary: £26,000 – £28,000 pa pro rata
Location: Stoke Mandeville, Aylesbury / home working
Role Responsibilities
* To provide high quality administrative support to key functional areas such as Fundraising, Finance and Operations, ensuring that UK processes are fit for purpose to support the long-term goals of the charity.
* To ensure the effective day-to-day running of the Karibuni Children Office, based in Stoke Mandeville, Bucks.
* To oversee management of the donor database, (currently Donor Strategy), and other IT systems (principally Microsoft 365) in use by Karibuni Children and to ensure that the systems provide effective support to all functions of the charity.
* To act as an ‘agent for change’, seeking ways to improve the efficiency and effectiveness of Fundraising, Finance and Operational activities.
* To participate in the recruitment of volunteers
* To promote and actively support Karibuni Children’s fundraising activities and events
* To provide effective support to Trustees, Staff and Volunteers in all areas of the organisation’s activities
Person Specification
* Empathy with the Vision, Mission and Core Values of Karibuni Children and a commitment to work to the highest standards of integrity.
* Appropriate technology skills, with the ability to manage a small estate of IT equipment. Understanding of the potential of, and the ability to use, technology to improve process efficiency and effectiveness.
* Experience designing and managing operational processes and control frameworks. Ability to develop, monitor and maintain quality standards.
* Good financial knowledge and awareness. Ability to analyse and interpret a variety of data and produce insightful management information
* Relevant experience of staff performance management. Ability to give and receive feedback objectively and sensitively and willingness to challenge constructively. Good inter-personal skills including the ability to delegate effectively and appropriately with adequate follow-up
* Experience of monitoring and maintaining personal performance against agreed targets
* Good organisational skills including the ability to plan and arrange own work and work of others.
* Effective written and oral communication skills
* Willingness occasionally to work outside of usual office hours
* Enhanced DBS check
