Our client is looking for an ambitious, organised and friendly, Office Administrator to join their office based team on a Temp-Perm basis i.e. First 12 weeks employed as a Temporary worker with Permanent employment offered at the end to successful candidates.
You'll work alongside a team of Administrators and an Office Manager to manage a team of plumbing & heating Engineers, organising and managing their diaries and appointments, following up on lead, looking at work flow and ultimately ensuring that Engineers have what they need and the routes of their days are planned accurately and efficiently.
Office Administrator responsibilities:
* Answering calls to new and existing customers, responding to emails, checking the progress of work and requesting feedback at the end of jobs from customers
* Monitoring emails/leads and responding throughout the day
* Checking reporting in commusoft – needs attention / monitoring all day to respond to emergencies
* Diary Management
* Supporting the engineers throughout the day with any tasks they need
* Ensuring that Engineers have arrived on time/contact customers if Engineers are running late
* Chasing quotations that were sent out and answer any questions/queries
* Ordering materials and liaise with suppliers
* Ensuring Engineers/subcontractors know where they are the following day and they have all instructions for parts and materials and where the parts / materials are
Office Administrator requirements:
* Previous sales experience/familiarity with reaching targets and securing leads
* Excellent telephone manner/confidence
* Handling urgent situations and low level complaints
* Ability to prioritise customers and jobs and delegating daily/weekly tasks to colleagues
* Strong organisational skills
* Computer knowledge and experience is crucial in the role as you will be working with a computer system to book appointments, manage the Engineers diaries, create quotations and use company systems
Office Administrator package:
Hours: Monday to Friday 8.30 – 5.30 (1 Hour Lunch)
Location: Based outside of Aylesbury (Own transport required)
Pay: £10.50+ per hour depending on experience (Bonus schemes available)
