Rocasa Consulting are looking to recruit a Temporary Senior Housing Lettings Officer based in Milton Keynes but also covering the Oxfordshire Area.
Working Hours Mon – Fri 37.5 hours
Pay Rate £13ph – £14.50ph via Umbrella Service
To provide effective housing and tenancy management for our Milton Keynes and Oxford property portfolio and tenants. The role will include the day to day housing and lettings management, offering advice and guidance to the team on complex tenancy matters, and ensuring high quality advice and support for tenants to fulfil our social impact objectives.
You will work closely with the service manager and coordinator to ensure high performance and effective processed for allocations, assessments, new tenant inductions, rents management, tenancy and move on support.
KEY RESPONSIBILITIES
To provide an effective allocations, tenancy management and support service to Real Lettings tenants for tenancy sustainment and move on.
To carry out efficient housing management duties including portfolio supervision and maintenance inspections for our properties.
To ensure accurate information management for monitoring systems, health and safety compliance and service performance reporting
Develop and maintain good working partnerships with internal & external stakeholders.
To provide line management support to service delivery staff
To provide an effective allocations, tenancy management and support service to Real Lettings tenants for tenancy sustainment and move on.
* Manage effective letting of void units to new tenants following an assessment, who are ready to move into the Private Rented Sector (eligibility criteria applies) through referral partners as appropriate to the available unit.
* Ensure thorough property and tenancy induction for new tenants and provide resettlement support to maintain tenancies, and sign post/ make referrals to other agencies when appropriate.
* Conduct efficient rents monitoring for tenants and take corrective action where required, under guidance of the Real Lettings Coordinators to:
* establish new rent accounts and/ or housing benefit claims as applicable
* minimise voids costs through efficient property relinquishment and allocations procedures
* monitor arrears and recover Housing Benefit payments owed and liaise with rents teams on legal action
* monitor bad debts, and ensuring that prompt and appropriate action is taken in line with Real
Lettings procedures

* maintain local petty cash system
* Proactively support tenants to prepare for move on, including providing information about deposits, move on options etc.
* Ensure voids are kept to a minimum.
To carry out efficient housing management duties including portfolio supervision and maintenance inspections for our properties.
* Manage relationships with partners and contractors to ensure that any house-keeping, health & safety, cleaning or repairs works are to the required standard.
* Take and respond to maintenance queries from tenants, diagnose basic issues and suggest tenant led solutions.
* Use the Organisation’s repairs reporting systems or purchase order process to engage external contractors.
* Any other housing management tasks as may be reasonably required by your Line Manager.
* Respond promptly to service enquiries providing efficient and accurate advice and guidance on all rent, tenancy and property related matters for Real lettings tenants.
Maintain effective and accurate information, recording and monitoring systems to report on key performance indicators.
Update internal monitoring systems on completed health and safety inspections and maintain accurate property records.
Report and record all tenant interaction on rents, repairs, legal proceedings and tenancy management matters on internal client monitoring systems.
Respond promptly to any service complaints, recording and reviewing complaints to highlight service improvements.
Assist in the collation of accurate and timely monitoring information for reports to external bodies as required.
Develop and maintain good working partnerships with internal & external stakeholders
Work with Local Authority and other external organisations in a customer focused way, keep stakeholders regularly informed of processes and procedures.
Proactively liaise with the Property Services team and Rents team to avoid tenancy breakdowns and ensure voids are kept at a minimum.
Maintain existing agreements and partnership arrangements and to promote new initiatives.
Produce good quality information for tenants and external stakeholders.
Liaise with partners to ensure that new properties taken on are up to the expected standard.
To Line manage and empower service delivery staff
Helping to develop performance targets and quality control measures for the work of the service, and monitoring staffs’ work to ensure that these are met.
Supporting staff by setting clear objectives and holding individual supervisions regularly.
Ensuring good communication between staff by contributing to team meetings, and additional briefings as necessary.
Inducting new staff and planning the continuing development of existing staff on the basis of an annual appraisal.
Managing the workload of your staff to ensure that adequate cover is provided at all times.
Ensuring the health and safety of team members. This will include implementing procedures for office safety and use of computer equipment.
Defining (and reviewing from time to time) the roles of staff to ensure these support the service function’s aims and objectives.
