Are you an experience Personal Assistant that is seeking a new opportunity? Do you have experience of providing professional and efficient administrative support to senior staff, diary management, making arrangements, and supporting with IT and phone handling?
My client, a national Property Management company, are seeking an excellent, driven and professional Executive Personal Assistant, to support the Operate division of the business, from Milton Keynes, Buckinghamshire (hybrid working).
The role:
Provide professional and efficient administrative support to senior leadership team.
Proactively manage email inboxes and correspondence, prioritising and redirecting items as required
Diary management for the senior leadership team
Act as a first point of contact, deal appropriately with phone calls, urgent messages, items for signature and confidential information
Manage a range of databases and filing systems, implementing efficient and effective procedures and administrative systems
Collate and generate expenses for members of the department as and when required
Book business travel arrangements including flights, transport and hotels, as required
Respond to queries as appropriate
Use a range of software including email, spreadsheets and databases
Effective co-ordination and scheduling of meetings, events and conference calls, including room bookings, attendee management and detailed follow up as necessary.
Produce and/or collate a range of correspondence, meeting notes, agendas, presentations, reports, financial forecasts and documents to agreed deadlines
Liaise with key people across, and out with of the business as required in order to ensure effective and efficient time management and project delivery for the senior leadership team
To run with and contribute to ad hoc projects, initiatives and events as necessaryYou will require:
Previous experience in being a Personal Assistant, ideally within high-end, busy, and/or fast-paced organisations.
Be comfortable working with senior executives and handling sensitive and confidential information with the highest degree of integrity and discretion.
You are competent in MS Office software packages and have experience in a busy administration role.
You are resourceful, curious and keen to get involved where needed.
You are a self-starter, able to work independently with minimal direction. One time instruction.
You are enthusiastic, approachable and adaptable, able to deal adeptly with varied personality types.
You strive to clarify in order to solve problems.
This is a hybrid role, you will be happy with some travel where required (although rare)
Fluency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
Excellent literacy and numeracy skills
Effective verbal and listening skills
Strong organisational, co-ordination, planning and prioritisation skills
Confident in communicating with teams and stakeholders, across all levels of the organisation
Ability to work as a team member, including being flexible and supportive of other team members
Ability to multi task and remain positive under pressure
Ability to completely format reports and documents
Focus on detail and accuracy
Willingness to travel to meetings in the UK as appropriate as part of the roleYou will receive:
