James Maciver Costumes is looking for a Head of Operations to be a vital part of a vastly growing business. They will be required to work closely with the rest of the senior management team including Head of Costume Operation, Head Creative Pattern Cutter, Office Manager and Creative Director or independently on specific projects assigned to them. The role will be based at the creative studio in Milton Keynes.
This managerial role will report directly to the Company Director.
We are looking for someone with previous experience of working in a similar operational role, preferably within a theatrical costume capacity, who can confidently perform the key duties and responsibilities required.
Duties and responsibilities
* To manage and be responsible for project managing all company deliverables through all company departments
* To communicate any questions / concerns to the Company Director, upon project handover ensuring maximum productivity
* To input & update projects along with deadlines into the company project management app Monday dot com and communicate this verbally and continue to update throughout the process
* Attend management meetings along with the Head Creative Pattern Cutter and the Head of Costume Operation
* To ensure full handover takes place to the Company Director when on planned annual leave
* Managing logistics with external logistics companies APC – Courier & Freight Forwarders
* Communicate with external companies regarding deadlines and delivery locations
* Update external companies when deliveries are in transit and estimated delivery arrival times
* Working with the Head of Costume Operation on meeting deadlines for shipping and packing
* Recruiting, booking and contracting install/setup teams for cruise and land-based projects
* Organising travel and itineraries for contractors working abroad or on location
* Responsible for all company packing materials and stock levels reporting any low stock levels to the Office Manager
* To fully manage and be responsible for the packing, shipping & inventory of all costumes
* Use all inventories and shipping costs to generate invoices to clients with the Company Director
* To create costume bibles documenting all costume items and laundry coding
* Working closely with the Company Director to manage all projects and deadlines
* Working closely with the Company Director with sourcing and buying various costumes and fabrics
* To ensure all garments are labeled clearly for the client
* Ensure all company intellectual property is organised and stored safely. Including patterns, design notes, photographs and samples. Physically or digitally using company cloud storage
* To be able to use own initiative, manage and organise their own workload to ensure each assigned project or task is completed within the agreed timescales
* To be highly organised with excellent communication skills
* To regularly meet and update the Company Director regarding the daily / weekly workload
* Update company contacts and information for suppliers
* Have a good knowledge of sourcing and supply companies
* To be responsible for personal company credit card and submitting all receipts relating to the company credit card purchases
* Ensure that all paperwork and invoices are kept safe and shared with the Office Manager
* To keep track of budgeting and spending
Essential skills and qualifications
Advanced knowledge in dealing with the shipping companies UK and globally
Experience in Team Management
Minimum of 3 years’ experience of working in in an operational role with a minimum of 2 year in industry at management level
Good understanding of the costume process from design concept to finished result
Good time-management skills, including the ability to turn work around quickly
Ability to work both independently and as part of a team
Proven track record of project/costume management skills
Flexible, hardworking and organised
Positive and constructive attitude
The ability to remain calm under pressure
Ability to work with due regard to Health & Safety
Ability to work on several projects for different companies at the same time
Good communication and correspondence when dealing with production staff and freelance workers
Desirable skills and qualifications
Good knowledge of basic Health & Safety.
College degree in Theatre Studies, Theatre Costume, Costume Making or Fashion Industry

We are a fast-paced dynamic and creative expanding team of 16 employees based in Olney, near Milton Keynes, working with clients around the UK and Internationally. Our clients range from independent artists to large scale companies within the entertainment and hospitality industry with various requirements and needs.

Hours and environment
Your normal working week will be 40 hours per week Monday to Friday with a paid 30-minute daily lunch break. You may be asked to work additional hours paid at the agreed rate of contract. You will be working in a shared studio space with access to free parking dependent on availability.
Holiday entitlement
You will receive 20 days paid annual leave plus 8 bank holidays (pro rata).

James Maciver Costumes takes the health and safety of all its employees, workers, contractors or customers very seriously. Within this role you will be expected to ensure that you work safely and take responsibility for your own health and wellbeing as well as others around you.
Although this is a temporary position to cover maternity leave, there is the potential for the right candidate to move into another vacancy within the business after this. We are a rapidly expanding company with the need to recruit top talent regularly so it’s very possible that it could result into a permanent role.
