Description
To be the first point of contact for visitors and callers to Mirus and to portray Mirus in a manner in keeping with the Mirus values. To ensure smooth running of various admin support areas within Mirus.
Main Responsibilities:
Support various teams with administrative tasks. Activities may include:
* Assisting with raising and processing sales quotes
* Assisting with the recording and management of asset tags
* Assisting with the processing of sales and purchase invoices as required
* Data entry
* Answering phone calls and emails and routing them appropriately
* Assiting various teams with general administative tasks as required
Ensuring the smooth running of the Mirus office. Activities may include:
* Greeting visitors to the Mirus office and getting them drinks as they require
* Conduct new employee inductions, including office tour, health and safety briefing, and fire edvacuation process.
* Dealing with building issues, liaising with the landlord where necessary (LS will do Landlord liaison)
* Allocating keys and alarm fobs for the Mirus office and maintaining a list of keyholders, always ensuring some spare keys are available
* Managing the access control system and the alarm system and CCTV.
* Manage the Health and Safety activities of Mirus and ensure compliance – Office manager will do hazard checking and reporting on accidents etc, managing first aiders and risk assessments by working closely with Compliance department
* Manage the fire safety activities of Mirus, inclluding managing and fire wardens and organising fire evacuations by liaising with landlord and external parties as required
* Ensuring all meeting rooms are tidy after meetings have occurred and that all are clear at the end of each day
* Monitor meeting room usage to ensure people use correct rooms.
* Ordering sandwiches for lunch meetings as required
* Generally ensuring the office looks neat and tidy including the kitchen area (ensuring dishwasher is put on, bins are emptied when full, hand towels are refilled when empty)
* Liaising with the office plant company to ensure the green plants in the office are looked after and look healthy
* Opening the post and distributing appropriately
* Check stock of stationery and kitchen supplies regularly and ensure orders are made as necessary
* Keep track of stock of staff uniforms and propose new orders for approval when necessary
* Administer the Mirus car fleet: conduct monthly vehicle checks, and book MOTs and services as required
* Support Fleet department in ensuring they have a copy of required documents for any staff driving for work purposes
* Work with head office as needed to ensure DSE assessments are carried out at their anniversary.
* Ensure all gym users have an induction and a signed questionnaire.
* Carry out various Word and Excel tasks related to the smooth running of the business (e.g. bulk letter writing to customers about Mirus changes)
* Undertake all other reasonable requests.
Requirements
Knowledge & Experience
• Telephony based customer service experience
• Customer facing customer service experience
• Experience of working in a fast paced office
• Competent in the use of the MS Office suite of software
