Techniche Global are working with a leading engineering technology company to appoint a Facilities Administrator.
Main Responsibilities:
* Support all facilities for daily and scheduled maintenance activities.
* Raise Purchase orders for service contracts, materials/stock, preventative, and reactive work in accordance with facility manager.
* Vendor contract reviews and management
* Health & Safety – support on site, attend safety meetings etc and maintain health, safety, and security within premises.
* Compliance activities – ensure statutory services are booked and arranged including ensuring that the documentation is up to date.
* To plan and conduct schedule audits on the performance of the contractors to ensure that their performance continues to provide the best value for money and quality of service.
* Company car management – ensure driver documentation is up to date meet regulatory requirements such as insurance checks.
* Catering – ensuring all stocks are necessary ordered and meeting rooms and catering requirements are met.
* Contractor meetings – arrange and attend contractor meetings as required.
* Support for accounts teams – setting up new vendors, invoice resolutions.
* UK Facilities Sharepoint – update the site on a regular basis to ensure all information is up to date as this is the main site used by all facilities compliance audits.
* Maintain vendor register and ensure all vendor information/documentation is up to date, as per company policies.
* Update, maintain and manage various facilities compliance tools.
* Arrange and manage the occupational activities as required by sites and maintain registers and employee information.
* Produce monthly reports for Facilities department, e.g.: Goods In and Reception
* Provide reception cover, as necessary.
* Provide adhoc administrative tasks on behalf of other departments.
* Action and maintain all databases relevant to reception (E.g., Facilities, UK Compliance & UK Reception)
* Communicate accurately with internal and external customers.
Previous experience in a Facilities role is essential
