Warehouse Admin & Returns Coordinator

Job Summary
Provide administrative support to the IPS Warehouse team.
Processing of physical returns and collection notes
Monitoring, administration and resolution of issues
Customer and client liaison
Essential Job Duties:
Warehouse Administration
Run, log and file daily carrier manifests
Run daily GRN reports
Deal with day-to-day admin including telephone calls and emails including:
* Collection information
* Booking references
* Box/pallet quantity queries
* GRN queries and re-runs
* Pack quantities
To respond appropriately and swiftly to admin requests, enquiries from colleagues and help with their resolution
Manage the Goods-In diary
Organise booking in where dispatches to customers require booking in at the point of receipt
Change carrier details on pick notes where required
General NCIs (production of non-commission pick notes for problem resolution)
Deal with request invoice queries
Monitor returns to senders and daily exception reports
Inventory management and stock control admin tasks
Monitor and order warehouse facility and packaging material supplies as required
To work closely with and provide admin support to the Warehouse Manager and Team Leaders
Timesheet reporting to payroll via clock card system for Warehouse Associates
Returns
To daily monitor returns, resolving queries and liaising with customers and publishers to achieve successful outcomes
Report back on recurring returns issues relating to problematic returns / defaulting customers and work with the Customer services and warehouse manager to find solutions where possible.
Maintain a list of customer and client exceptions to returns polices, updating and querying data as applicable
To provide accurate information to customers on behalf of the Publisher client relating to procedures and policies.
To take responsibility for the swift resolution of any returns queries ensuring all enquiries have been followed through to completion and colleagues, customers or clients are kept informed and up-to date until such time enquiry has be resolved.
To ensure service levels are adhered to and where possible improved upon.
To participate in feedback to other departments in the Company, including escalation of issues to the appropriate team leader or manager
Other Duties
The scope of the role encapsulates many functions across the business and will necessitate business-wide support as well as liaison externally with customers and publishers.
To participate in regular warehouse cover rota, picking / packing, stock replenishment and any other warehouse tasks that might be required.
Undertake all other reasonable tasks and responsibilities as requested by Manager or other team leaders / managers throughout the business
Ensure compliance with Health & Safety in accordance with company policy.
Skills:
Work experience – office or warehouse admin based would be desirable
PC literate – Microsoft office suite- Excel, Word, P/Point
Knowledge of Databases
Excellent spelling and grammar
Good understanding of Operational and Company practices
Able to use initiative
Work as part of busy team and to deadlines
Time management
Keen attention to detail & Excellent communication skills
Balance needs of role and prioritisation of tasks, especially with regard to time-sensitive matters

Undergo ongoing training in the use of IPS systems, and to train to use new features of our systems as they are developed.
Essential Physical Demands:
Ability to work flexible hours if required.
Standard office environment and a mainly sedentary role.
Ability to travel if required.
Some packing and unpacking and lifting of cartons required on a daily basis
