We have an exciting opportunity for a Customer Care Co-Ordinator to join our team, based in Tongwell, Milton Keynes. This is a full-time, permanent position and in return you will receive a competitive salary.
Hours: 08:30 – 17:00 with 1 Hour Lunch, flexible working hours offered on a prior agreement and to meet the business needs.
About the Customer Care Co-Ordinator role:
As our Customer Care Co-Ordinator, you will provide courteous customer service, and required office support for Leica Geosystems & Hexagon Geosystems sales personnel. Working within a flexible cross-over team you will assist in cover as and when required. You will also ensure that the process flow runs smoothly, resolving any issues promptly and efficiently.
Responsibilities of our Customer Care Co-Ordinator:
Sales Order Fulfilment:
Managing the sales order process through to billing using the SAP status reports ensuring that the
corporate guidelines on the method of shipment are adhered to
Ensuring that the sales orders are processed within agreed deadlines and that customers and the
sales team are informed of delivery dates and any subsequent changes
Working with Warehouse to ensure that all purchases against sales orders are confirmed for
delivery within 24 hours of receipt and that the delivery dates are communicated to the customers
and the sales team
Monitoring the pricing on sales orders to ensure that they are in line with the agreed pricing structure
Liaising with Service and Technical Support to ensure that all pre-delivery inspections are carried
out in line with customer expectations
Technical Service Order Fulfilment
Processing the engineer's timesheets daily, confirm and post hours, post goods issue for spare parts, ensure accurate data input using utilization reporting via the BIW
Creating notifications, e-mailing customer return authorisation notes, and arrange a courier to collect if requested
Maintaining and managing the capacity planner on SAP
Creating and supply customer estimates and notifications
Ensuring that all estimates are followed up within 5 days and thereafter weekly
After Sales Process:
Processing all new SmartNet Contracts and renewals
Generating SmartNet reports for the OS and John Deere
Creating contracts for all new CCPs/subscriptions sold on sales orders via SAP ZCCP cockpit
Sending CCPs/subscriptions packs to all customers that renew or purchase new CCP contracts or subscriptions
Issuing monthly CCP renewal quotes via SAP ZCCP cockpit in the required time frame for the following month
General:
Dealing with e-mail, telephone, and other queries and enquiries on a day-to-day basis
Creating vendors and purchase orders as required
Assisting with the prompt resolution of customer queries and credit notes to aid the cash collection process
Preparing any credit notes ready for authorisation then process on SAP
Ensuring that all issued information, whether written or verbal, is both accurate and authorised
What we’re looking for in our Customer Care Co-Ordinator:
Experience in SAP is a prerequisite
Experience in a busy customer service office environment
Ability to build and maintain relationships with key customers
Excellent communication skills, both verbal and written
Excellent PC skills including Office 365
Confidence to work on own initiative
Willingness to work as part of a team
Organised and thorough with good attention to detail
Ability to work under pressure
Need to be adaptable to meet the dynamic and changing needs of the business
Fluent in English with excellent written and verbal skills
