Job Purpose:
To provide a high level of support to the Managing Director. To act as point of contact both internally and externally. This is a proactive role, which requires someone who is able to consider wider team issues whilst developing and refining the service.
Responsibilities and Accountabilities:
* Manage the Managing Directors day-to-day calendar, including inbox management, arranging meetings and prioritising appointments accordingly.
* Preparing agendas, collating briefing notes, tracking actions and organising meetings rooms ahead of meetings.
* Provide administrative assistance, such as typing minutes, memos, agendas, letters and other documentation.
* Assisting with presentations, reporting and collating information packs on behalf of MD and Land Director.
* Coordinating meeting schedules for the Operations Board and the Exec Board.
* Co-ordinating monthly breakfast meetings
* Maintaining (an electronic) ‘day-book’ file for the Managing Director ensuring the latest most up-to-date documents are present.
* Coordination of annual Employee Survey.
* Draft response letters to customers/ stakeholders
* Providing refreshments for board meetings
* Identifying areas of improvement and introducing new processes.
* Monthly Expenses
* Raising Purchase Order’s
* Collation of monthly business newsletter
* Be lead Berkeley Foundation Representative for the business
* Lead events committee with calendar of events
* Organising Events (Christmas party, Summer Party, Staff Updates, Corporate Events)
Technical Competencies
* Experience using the Microsoft Suite – Outlook, Wood, Excel and Powerpoint
* Secretarial Skills
* Expereince audio typing.
* Shorthand an advantage

* Exceptional organisational skills – able to juggle shifting priorities and manage tasks to successful completion.
* Ability to work effectively with minimal supervision – you thrive in a fast paced environment, are independent and are always a step ahead.
