Location: Hybrid – working from home and the Fund’s offices in Buckinghamshire
Hours: 37.5 hours per week, Monday to Friday
Salary: £22,000-£25,000

Our client is a charity dedicated to safeguarding the health and wellbeing of serving personnel principally through the funding of sport and physical activities. Every year they deliver integral support to individuals, RAF Stations and Sports Associations through their grant funding programmes to enhance their time whilst serving. Ultimately, they want everyone regardless of their role, rank, physical ability or competing level to have access to sports facilities, equipment and training.
Providing support to the Grants and Donor Engagement Officer, the Grants Assistant will administer and coordinate the running of the Fund’s grant programmes to ensure the efficient and transparent distribution of Fund’s charitable funding.
Key responsibilities of the role include:
Acting as the first point of contact in providing information and guidance for grants related enquiries for RAF individuals and Stations (telephone, e-mail and in person).
Processing and initial evaluation (including the provision of a recommendation and summary for the Grants and Donor Engagement Officer) of all grant applications.
Corresponding with grant applicants to obtain appropriate information to support the grant application (telephone, e-mail and in person).
Assisting the Grants and Donor Engagement Officer and working with the Marketing and Communications team to monitor, evaluate and communicate the effects of the charity’s grant funding.
Creating reports and liaising with the Finance Department to pay grant applicants.
Assisting the Operations Manager to establish appropriate integrated links between the CRM and grants modules of the database.
Inputting and recording grant data onto the database.
Managing and collation of grants information from the database for use by the Grants and Donor Engagement Officer and colleagues across the Fund.
Arranging internal/external meetings for the Grants Officer and Grants Committee and organising travel, accommodation and related arrangements for visits as required.
Drafting accurate letters, emails and producing written and statistical reports as required.
Provide effective day to day administrative support to the Grants Officer.
Informing RAF Station and Individual sporting grant recipients of decisions and awards.
Accurately and clearly record grant information for onward collation.
Ensure that records, application forms and correspondence for grant applicants are filed and stored in accordance with appropriate Data Protection requirements.
Training new employees of the Fund where required.
General
Ensuring compliance with the Fund’s policies and procedures in all aspects of work.
Undertake other work in support of the Fund’s objectives as required and any other duties as may be identified by the Grants and Donor Engagement Officer, including with adhoc fundraising requirements.
Person Specification:
Essential experience
Providing administrative support to small busy teams.
Articulate with excellent verbal and written communication skills.
Ability to build rapport quickly and to understand the requirements of a diverse range of beneficiary groups.
Ability to gather information and summarise to present to varying audiences.
Self-starter with ability to work independently across multiple physical sites with minimal time management.
Able to maintain confidentiality and deal with sensitive information.
Able to travel and stay away from home (with notice).
Dependable and reliable, able to keep calm and productive under pressure.
