Service Care Solutions are currently recruiting for a Workshop Coordinator to work on a full-time, long-term contract in Aylesbury with a local police force.
ROLE PURPOSE
Be responsible for the day to day running of the workshop liaising with customers by email,
telephone and in person, raising job cards and general workshop administration and loading.
Supervise and work with the Lead Motor Vehicle Technician, ensuring that all policies,
procedures and systems are maintained to the required standards including quality of work,
productivity and health and safety.
ROLE ACCOUNTABILITY AREAS
The key result areas in the role are as follows:
1. The first point of contact for all customers to interact with physically or through phone/email for all
SMR enquiries, contacting contractors for all external vehicle servicing and repair work. First point of
contact for health and safety compliance in the workshop on a day to day basis. Overall H&S
responsibility and assessments sit with the Workshop Manager.
2. Ensure all CTC vehicle are serviced and MOT'd to CTC and DVSA service/MOT standards, all
warranty repair/recall work is carried out in a timely fashion and the details are entered onto the
logging system. Contact the users and book in the vehicles for the relevant work.
3. Day to day point of contact for staff booking annual leave, absence recording/monitoring, staff
training etc. Inform the Workshop Manager of staffing issues to ensure they have a continuous
overview of the workshop
4. Day to day management of workflow, efficient booking in of work, ensuring all jobs are completed
correctly and to manufactures guide times.
5. Keeping all workshop administration functions including electronic job cards, raising and
processing orders, invoicing etc up to date and stored in an accurate and timely fashion.
Required Skills:
Supervisory or management experience and/or relevant qualifications such as supervisory or management qualifications.
Recent and relevant experience of using MS applications (especially Outlook for scheduling/planning and Excel for data recording) along with proven ability to write reports of a high standard.
Experience of using and updating databases and ability to adapt and learn new systems and packages as they come into use.
Recent experience of working in a medium/large motor vehicle workshop with experience in service reception environment with ability to work under pressure in a high paced environment.
High level of customer service skills/proven experience in a high paced/pressure environment and associate high level communication skills.
