About the role:
We are currently seeking a Void Contract Administrator / Planner to join our team. The main purpose of this role is to provide administrative support for the Empty Homes Team (EHT) to enhance the delivery of the empty homes function of the business and provide excellent customer care whilst effectively controlling and managing the dynamic appointments and workforce scheduling system.
Your main responsibilities will include:
● Acting as the main point of contact for Customer Services Teams, EH Coordinator and Void Delivery Managers, providing updates on progress and dealing with any queries arising from EH pre and post inspections
● Providing information as required, liaising with colleagues to help progress works and ensure the most efficient use of available resources
● Ensuring the upkeep of managing systems, where all works completed are accurately recorded with appropriate notes and stage updates which are in line with client requirements
● Liaising with outgoing customers, arranging and appointing all inspections within necessary notice periods
● Monitoring the progress of the voids workforce team
● Arranging specialist contractors where necessary
● Allocating void works to appropriate Void Operatives
● Reporting any complaints or concerns over performance
● Feeding back information and ideas that will help to improve the service
What we’re looking for:
● Understanding of the importance of good customer service
● Experience of using bespoke systems, including dynamic appointment and workforce scheduling systems within a mobile working environment and Open Housing or similar contract management systems
● Experience of arranging and planning works or services to be carried out within specified timescales and to strict deadlines
● Knowledge of building terminology, domestic repairs and basic domestic amenities
● Ability to follow procedures and maintain clear, concise records and to give clear instructions by telephone
● Strong negotiation skills
● Ability to work as part of a team
● High level of computer literacy
It would also be advantageous for you to have:
● Experience of planning and organising resources within a void property environment
● Experience of working within a busy office environment
● Experience of working within housing maintenance / building environment ● An interest in housing and helping people
