The OU is looking to recruit a Project Coordinator to join them from 09/11/2020 until 31/01/2021, working a 30 hour week (4 days) and paying £14.30ph; this role will be working from home.
A Project Coordinator is required to provide pro-active administrative support within the International Development Office (IDO), working closely with the project teams to support the work of specified international development projects. You will manage the day to day administration of specified projects and also work closely with internal and external stakeholders.
Key Responsibilities:
To liaise with a wide range of internal and external contacts at all levels.
To provide pro-active administrative support to the project teams.
To work pro-actively with members of the project teams to schedule meetings, circulate agendas and meeting papers, prepare minutes and meeting notes, carry out and monitor follow-up actions.
To work closely with and support the Senior Project Managers and the Unit Management Accountant in the monitoring of the project budgets.
To liaise with the Operations team to arrange consultancy contracts and payments for authors, capacity builders, researchers and other external consultants. Manages the consultant timesheets which inform the payments associated with external consultancy contracts.
To prepare reports and documents, including material of a confidential nature. Prepare PowerPoint presentations for meetings, conferences and seminars suitable for external audiences.
To be responsible for checking complex expense claims.
To establish and manage the project generic in-boxes and independently make decisions on appropriate action, consulting as necessary.
To support the production of materials and work with the wider team to ensure quality of materials to LDS.
To have overall responsibility for the project-related filing and recording systems and procedures, improving and adapting these as necessary.
To proactively manage if and as required the electronic diaries of the relevant Senior Project Managers and /or Academic Directors / Leads, scheduling complex meetings and telephone conference calls as required.
To provide secretarial support to members of the project teams.Skills and Experience:
Essential
Excellent IT skills with the ability to use a range of software including MS Office packages confident in using online systems, for instance for visa applications
Proven experience of working in an administrative capacity
Excellent oral and written and IT communication skills
Experience of servicing meetings
Budget monitoring experience
Ability to digest new information quickly and think logically and concisely
Ability to work independently under pressure
Evidence of strong team working
Excellent organisational skills, ability to manage a large and complex workload to a professional standard
High level of accuracy with good attention to detailDesirable
First degree or equivalent
Ability to update and maintain a website with links to other internet sources
Experience of using internal OU systems
Experience of organising international business travel
Experience of OU module production and ability to work with structured authoring templates
