Role
We are looking to appoint a full-time Procurement / Admin Assistant to support our busy equipment rental department. This a clerical position and suitable for someone who is looking to make a career start within the industry. Working closely with both the kit room and office booking teams, the role will support these teams with various administration tasks – purchasing new equipment and updating our asset management platform with the relevant product details; tracking purchases & handling shipping. The role bridges administrative and technical departments so a good understanding of technical equipment and an eagerness to learn more is essential, attention to detail and strong numeracy skills are vital.
Responsibilities
* Working alongside the Technical Manager with cost comparison and analysis for product procurement; dealing with suppliers and purchasing of technical equipment
* Tracking purchases and handling shipping, imports/exports / dealing with customs
* Updating the asset management system with pricing and details for equipment
* Clerical tasks including preparing/sending reports, logs, and records, and maintaining databases
* Stock availability checks
* General admin: responding to client emails, raising purchase orders, updating spreadsheets
* Answering the phone, responding to email queries
* Managing collections and deliveries; updating the tracking database with shipping information
* Producing labels, picking lists and other documentation for stock movements
* Preparing works orders, kit lists and paperwork
Requirements
* Excellent numeracy skills and attention to detail
* Ability to learn new systems and processes quickly
* Common sense and initiative, with the ability to work unsupervised under pressure whilst working to tight deadlines
* Conscientious with a positive can-do attitude
* Excellent written and verbal communication skills
* Good organisation and time management skills
* Computer literate – competency with Google Drive, the MS Office suite – Excel, Word, Outlook & Apple products, with ability to learn new programs quickly
* Excellent interpersonal skills and the ability to work collaboratively throughout the organisation
Working Conditions
* 42.5 hours average per week within our main hours of business – 8am to 6pm – with the flexibility to work outside of these hours if required
* Monday to Friday – very occasional weekend hours may sometimes be required
* Holiday – 20 days plus UK bank holidays
