Our client has a full time vacancy for a Partnership Events Assistant. This role is offered as a 6 month temporary position. As Partnerships Assistant, you will build relationships with external and internal stakeholders department leads, senior management of other business organisations, and business partners.
The role evolves around the preparation and planning for two critical visits, one in October 2021 and one in March 2022.
The role
Compilation of all required supporting data.
Set up of online data access point.
Detailed event planning – organisation of visit:
Virtual meetings schedule with technical support.
Set up of separate ‘room’ for visitors
Pre-visit Report (submitted 3 weeks in advance of the visit)
Compilation and co-ordination for required data.
Information management and reporting of both high level and in detail information for the submission of accreditation report.
Liaison with organisation / staff to compile data.
International visitors
Organising and hosting the visit of International visitors during their stay in the UK
Coordination and preparation of their visit, including engagement pre-visit, coordination of different activities and corporate visits, organise transport and accommodation in London and locally, trips and lunches/dinners as appropriate for the visit, monitor spend and negotiate best rates possible.
International Business Assignment
Support:
o the project management for delivery and communication of the IBA, dealing with multiple stakeholders.
o Communicating with suppliers and overseas contacts and external organisations in arranging for visits, transport, and accommodation whilst overseas.
o Liaising with other offices and updating communications systems. Support in preparation of data, visas, passports, flights, hotel accommodation, etc. ensuring all details are accurate.
The project implies dealing with unforeseen and short notice events that require flexibility and ability to quickly adapt to new scenarios.
Support administration:
o Coordinating and hosting virtual meetings.
o Dealing with complex scheduling within a fixed timeframe.
o Ensuring all business partners have all necessary information ahead of their sessions and all meetings scheduled in advance.
o Ensuring all visitors have relevant information.
o Ability to adapt and problem solve in tight timeframes.
Support the wider marketing and business development teams.
Requirements
Educated to degree level (or equivalent) or have equivalent experience.
Information management and reporting experience; compilation and co-ordination of data.
Previous experience in events management and/or project management role.
Strong interpersonal skills and the ability to develop relationships with internal and external stakeholders.
High level of interpersonal and verbal and written communication skills.
Motivated, proactive, autonomous, and self-driven.
The ability to work independently to a high level of detail.
Excellent time management and an ability to manage and meet multiple deadlines, managing priorities effectively.
Highly competent in copywriting.
Attention to detail.
Flexibility, ability to adapt and problem solve in tight timeframes.
Highly organised and presentable.
Excellent Microsoft Excel, SharePoint, Word and Outlook skills.
The ability to influence others through spoken and written media, and to negotiate and achieve deadlines and outcomes.
