We have an exciting opportunity for a proactive, adaptable and dedicated PA to join an established and expanding real estate consultancy business in Milton Keynes.
The successful candidate in this role will become the Personal Assistant to the Company Director and have a range of administrative responsibilities as well as additional duties as accounts assistant, supporting the organisation's Maintenance and Planning Teams.
Duties and responsibilities:
Diary Management
Managing incoming and outgoing emails and post
Handling and screening incoming calls
Maintain current brought forward system to tracking of action and deadlines
Making travel arrangements
Filing: to include scanning, electronic and hard copy filing
Preparation of letters and reports
Managing the office equipment – liaising with suppliers and service engineers accordingly
Maintaining all employee records
Provision of monthly salary and commission data to payroll provider
Manage Company bank accounts and reporting
Raising invoices and purchase orders as required
Processing of client invoices; to include pro forma and credit notes
Pay supplier invoices and maintain accurate records/on Maintenance Specific Software (training provided)
Credit control in line with Company procedures (Previous accounts experience preferable)
Liaison with the Company’s Bookkeeper, Accountants and Lawyer
Client liaison Person specification:
Min requirements: GCSE Maths, English & IT – C and above
Secretarial experience with first-class organisational skills
Experience with Xero would be beneficial
Basic IT skills with a good understanding of Microsoft Word, Excel & Powerpoint
Accurate data input skills & attention to detail
Credit control experience preferable (but training can be given to the right candidate with an aptitude to learn)
Excellent communication skills, orally and in writing
Touch typing skills
Confident & professional telephone manner
High degree of trust and integrity – comfortable with handling confidential information
Ability to work as part of a small team
A “Can Do” attitude & a willingness to learn
Ability to work independently after training
Willing to take responsibility and accountability for own actions
Able to solve problems – but also knowing boundaries and when to ask The working hours for this role are 8:30am – 5:30pm, Monday – Friday, allowing for some home-based flexibility
