Purpose of Job
You will work as part of a team in the provision of a comprehensive bid management service to the Group, ensuring that the business submits high quality, complete and compliant bids within the deadlines, and safeguards company risk.
This includes building and developing relationships with a variety of businesses/departments, as well as supporting engagement with external clients.
Key Aspects
The Bid Coordinator’s role will incorporate the following:
1. Register for identified opportunities and obtain information for further consideration
1.1 Support evaluation of the bid/no bid decision process providing input for the Bid Summary content
1.2 Take ownership of specified actions required to complete full and compliant submissions updating the Bid Plan accordingly
1.3 Liaise with the relevant businesses/departments to effectively progress chase any information needed
1.4 Raise, monitor and distribute clarification questions and answers to the bid team working on the opportunity
1.5 Liaise with Group Marketing to format submissions as required
1.6 Upload submissions to meet deadlines
1.7 Coordinate post submission clarifications and additional information requests
This role profile is not exhaustive and is subject to review in conjunction with the post-holder and according to the future challenges/developments in the Company.
Additional duties:
2 Manage the bid library and portals maintaining up-to-date content
2.1 Co-ordinate supplier questionnaire requests from customers and complete as required
2.2 Prepare reporting information on bid management activity and update the activity log
Knowledge and Experience
– Confident communicator, both written and verbal, with ability to establish good working relationships with multiple points of contact
– A strong aptitude for administration skills and competent in Microsoft Office, particularly Word and Excel
– Attention to detail and ability to work to deadlines, prioritising tasks accordingly is essential
– Capability to format written information in an attractive and engaging way is highly desirable
– Possess a positive, enthusiastic and flexible approach to tasks
– Experience of working with detailed procurement processes, particularly in the public sector, would be advantageous
