Our Milton Keynes-based client is looking to recruit an experienced Office Administrator to provide Secretarial and Administration support to their team.
Position: Administration Assistant
Hours: Monday to Friday – 37.5 hours
Salary: £20,000 – £23,000 D.O.E
Roles and responsibilities:
Be the first point of contact to clients and visitors, greeting them in a professional manner.
Answer switchboard in a timely and professional manner, handling all calls and escalating to the relevant person.
Typing up letters and documents efficiently and accurately
Assist with billing activities alongside other financial duties including processing write offs, adding disbursements to client ledgers and closing down files.
Responsible for maintaining the reception area in a neat and tidy fashion
Responsible for maintaining stationary, insuring the business is well stocked and the stationary area is kept in order
Setting up and clearing away meeting rooms and maintaining them
Provide refreshments and assist with luncheons to the meeting rooms as required and to clear away.
Ensure deliveries to reception are directed to the relevant staff member as quickly as possible
Undertake a variety of administrative duties as directed by the Office Manager.
Undertake training as directed by the Office Manager.
Provide administrative support to all departments including scanning, photocopying, filing as and when required.
Deal with incoming and outgoing post and DX including Special Delivery and booking couriers
Assist with hotel, travel and events booking
Ensure confidentiality and security of all information is maintained.
Remain courteous and professional at all times.
Knowledge and experience required:
Strong Administration experience
Reception experience
Excellent and professional telephone manner
Ability to prioritise effectively
Ability to work under pressure and to tight deadlines
Experience of working within the legal sector and or a corporate environment
Ability to multi task and prioritise workload
Exceptional communication and organisation skills
Self-motivator
Meticulous attention to detail
Maintaining a high level of confidentiality
Ability to work independently and as part of a team
Flexible
Strong IT skills particularly within Microsoft office
