We have a fantastic opportunity to join the world's most broadly-based healthcare company supporting their business as an Administrator. This is a full time ongoing temporary role working Monday to Friday based on their prestigious site in High Wycombe, working 37 hours per week paying £13.33 per hour. Please note this role is currently working 3 days in the office and 2 days at home this role will become full time in the office.
This role is to provide administrative support to enable the delivery of GHS programmes and services for UK, Europe North and EMEA
Principal Responsibilities:
Well-Being Campaigns:
Support GHS with Thames Valley roadshows, promoting GHS initiatives and health benefit providers
Coordinate health and well-being campaigns and material for UK and distribute GHS information as required
Maintain Information Resource Library for UK managers e.g. on-line self-help information and physical resources such as banners and EAP wallet cards where required
Support for clinical programmes:
Plan and support the flu vaccination programme for the Thames Valley sites
Project planning & support (Flu campaigns, Health Profile, Healthy events e.g. World AIDs Day, World Mental Health Day)
Mental Health Workshop support:
Coordinating the mental health courses for the UK, in collaboration with the GHS Ops Lead and Rethink Mental Illness
Scheduling and book sessions. Creating events and sessions in Summit, maintaining rosters in Summit and the Mental Health spreadsheet, sending and updating calendar invites. Sending out course materials and feedback requests to attendees, etc.
Liaising with Ops lead and UK mental health diplomats to ensure presence on each course.
Digital Support:
Updating the GHS UK Health & Wellbeing SharePoint with supplier resources and GHS materials for UK managers and employees
Responding to any queries received in the GHS UK inbox
Other duties:
Supporting Europe North; UK, Ireland and Nordics
Finance and contracts:
Raising and maintaining Purchase Orders in eMarketPlace and SAP Lynx, liaising with finance, the Ops Leads and suppliers when needed
Submitting supplier contracts for processing, liaising with contracting and the supplier and monitoring until the process is completeSupporting EMEA
GHS Leader support:
Support the Head of Global Health Services – EMEA, Campus Leaders and GHS Operations Leads for UK and Ireland with GHS related admin requirements.
Support the coordination of regional and sub-regional GHS meetings as needed
Data related support:
Pulling weekly SalesForce reports – two on a Monday for the Ops Leads and one on Wednesday for GHS EMEA Campus Leaders
Education and Experience Requirements:
Essential:
Ability to build strong relationships with key stakeholders
Strong communicator who is credible and self-assured;
Budget management, Familiarity and ability to learn and use online support systems (e.g. e-marketing, Ariba, SAP Lynxx, Concur etc.)
Understanding and interest in digital tools
Self- directed, resourceful and able to use their own initiative
Enjoys trouble shooting
Project management and administration skills
Business acumen and customer sensitivity.
Comfortable working in a matrix environment.
Ability to provide support in a timely and high qualitative manner
Have a customer vision in all activities
Desirable:
Previous experience in managing workplace health programmes
Interest in health promotion
Creative with a flare and interest in design to make innovate employee communications and events
