What we are looking for:
Purchase Ledger Clerk – happy to be part of small team for a SME.
Key Responsibilities and Essential Skills and Knowledge:
Manage the accounts emails:
– Oversee the accounts mailbox, distributing emails to relevant team members.
– Highlight any urgent emails that require immediate attention.
– Print all invoices/statements and file by company in alphabetical order.
Process purchase ledger stock invoices on average 350 weekly stock invoices:
– Ensure all invoices are input on ICS and matched to purchase order.
– Ensure all credit notes are processed for monthly payment runs
– Flag invoices that do not match the purchase order and query with the person who has raised the purchase order on ICS.
– Log all invoices that are under query and update the log detailing the actions required to resolve outstanding queries.
– Ad hoc supplier statement reconciliation
– Monthly review of stock accruals to ensure all invoices are captured and processed at month end.
– File all invoices in alphabetical & sequential order to be processed for payment.
– Archive all paid invoices.
Process all credit card expenses for payment
– Distribute the monthly credit card statements to the management team requesting VAT receipts for all expenses. On average 150 transaction per month.
– Maintain a database of all expenses detailing all transactions & VAT reclaimed.
– Ensure all items are coded to the correct expense account and forward monthly excel spreadsheet for review prior to processing.
Skills required:
– Excellent organizational skills and time-management
– Well presented with excellent communication skills both written and verbal
– IT literate including intermediate Microsoft Excel skills
– Ideally a minimum 4 GCSE’s C and above, including Maths, English
– Experience of working within an accounts department as a Purchase Ledger Clerk
