If you have strong administration skills and an eye for detail, we may have the ideal role for you.
Your role will involve supporting and administer the day-to-day queries, checking of invoices and reporting of the Fleet Management, to ensure all costs and transport requests are processed and checked against contracts and agreements.
This is a homebased role with occasionally travel to our Head Office in Marlow.
Key duties:
Collate and report on costs by vehicle type and supplier
Produce damage reports on a weekly basis, using prescribed category codes to help improve diagnostics
Process additional rentals (cars and vans)
Support the FRIS programme with reports, follow up on actions and track performance against plan
Company Car Fleet Administration (Approvals, Bill Checking, Expediting)
Truck Fleet Administration (Bill Checking, Expediting)
Maintain the Fleet Asset Lists (Trucks, Trailers, Company Cars, Vans, MHE)
Maintain the Motor Insurance Bureau (Additions / Departures) by working with our fleet management company
Log driver complaints and follow up progress with National Fleet Manager
Distribute the VOR report
Assist with any fleet related internal queries (i.e. Finance, HR, Payroll, National Fleet Manager)
Maintain up to date documentation for hire cars procedures/formsWe would welcome applicants with the following skills; Administration, Fleet, Procurement, Procurement Administrator, Document Control, IT Literate, Admin, Data Analysis, Communication, Reporting, MS Office, Data Entry, Customer Service.
Essential Skills
1 – 2 years of proven experience in an administrative role
Excellent and confident communicator both verbally and in writing; able to influence, build relationships and gain commitment from people at all levels
Excellent organisational skills with the ability to prioritise workload and work to conflicting, frequently demanding, deadlines
You will have the ability to work on your initiative and be a self-starter
Good organisational skills and ability to communicate with a wide range of internal customers
Desirable Skills
Intermediate skills with MS Office particularly Word, Excel, Outlook and PowerPoint skills for data analysis, presentation, and reporting
Experience in clear and precise levels of communication
Flexible and adaptable, able to carry out a range of duties
