We are looking for an Executive Assistant to join our team supporting the COO and the Operations Director. The focus of the role is to provide high level of administrative support as well as supporting ad hoc projects and providing assistance to the wider board of directors when requested as well as the Business Administration department.
Key Responsibilities of an Executive Assistant includes but is not limited to:
Acting as a first point of contact for the COO and the Operations Director
Light support on an adhoc basis to the rest of the board of directors
Diary Management – set up and attend meetings as and when requested
Minutes and actions – recording actions from meetings and supporting directors to ensure these are followed up on
Inbox management
Facilitate and arrange internal and external meetings
Provide administrative support and assisting directors on new and current projects
Adhoc projects that require administrative support. E.g. Social events, partner initiatives
Prepare monthly reports – monthly strategy update
Provide support for the US board meetings – set up and attend the meetings whilst recording minutes and following up on actions
Ensuring reviews have been set up for the directors and information recorded
Administration of the company's Insurance, Legal and Property portfolio
Project Administration – adhoc when projects from the board arise
Personal Adhoc requests What you will have:
3-5 years of experience of having worked in a similar role
Experience of working in a fast paced environment
Qualified to at least A level standard or equivalent (in business studies desirable)
High level of proficiency with IT, using Microsoft Office applications
Be highly proactive and demonstrate initiative
High level of integrity and ability to manage sensitive and confidential information with discretion and professionalism.
Ability to work on your own as well as in a team
Flexible and confident to create new processes
