Excellent opportunity to join a company in its infancy based just outside of High Wycombe, Bucks in an Office Manager role within a small office environment.
You will be acting as the "glue" holding together the office in a medical organisation that are well established overseas
4 days a week in the office, one day at home
£30,000 plus 10% bonus
0830 to 1700
CORE DUTIES AND RESPONSIBILITIES OF THE OFFICE MANAGER ROLE
* Manage office and day to day functions, order general office supplies, equipment and marketing materials.
* Plan and implement new and existing business processes and workflows to ensure smooth running of the office as needed to ensure the team is working efficiently
* Process financial transactions including, expense reimbursements, setting up payments and direct debits etc.
* Provide general support to General Manager, Sales team and Technicians as needed as well as coordinating staff meetings and events
* Manage (create and maintain) customer database compliant with GDPR
* Monitor the inbox daily for tender alerts and tender-related communications
* Register tender interest, submit clarifications & submit bids as instructed by the sales team, as well as being responsible for maintaining log of all proposals to remain compliant with public procurement regulations
* Manage and document quotations, PO’s, sales and receiving of goods for new business and renewals in coordination with the sales teams and finance department
* Liaise with shipping and commercial partners overseas and as well as submitting all necessary paperwork
* Manage customer inquiries and maintain general customer/supplier relationships in a positive and professional manner
* Log all phone/email requests for sales or support and forward as needed
* Act as office First Aid and Health and Safety officer and manage relevant certification
* Organise and arrange visitor meetings/customer training events/User Group Meetings
* Draft general correspondence, documents, marketing presentations and literature and distribute
KNOWLEDGE AND SKILLS NEEDED FOR THE OFFICE MANAGER ROLE NEAR HIGH WYCOMBE
* 3+ years’ appropriate office experience in a similar role
* An excellent communicator, both written and orally
* Able to build professional relationships with colleagues, and establish long-lasting team relationships
* Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
* Strong ability to multitask
* Able to to prioritise daily workload and shape the office functions
* Induction training provided to support development and skills competency
