Executive Assistant required to join a great company based in High Wycombe.
Responsibilities:
Provide a professional interface between a range of senior stakeholders including other UET members, Governors, regulatory bodies and external agencies.
Through monitoring of emails, calls etc., ensure the VC is fully appraised of key issues arising during the course of day-to-day management of the office.
Co-ordinate and manage the schedule of the VC including booking appointments and meetings, organising travel and accommodation as required; anticipating workload, producing electronic daily diary packs with associated papers and ensuring the VC has appropriate materials, briefings, agendas, action checklists as appropriate.
Create specialist documents for the VC, producing briefing papers, reports, presentations and providing general assistance during presentations where required.
Deal with routine matters of business on behalf of the VC and undertake investigation into more complex issues/enquiries in order to provide a briefing and/or draft a response.
To lead the work of the VC office, ensuring efficiency and effectiveness and a team approach.
Devise and maintain office systems, including data management and filing.
Screen telephone calls, enquiries and requests, handling them when appropriate.
Draft correspondence for the VC when required.
Ensure effective communications within the VC's office and beyond necessitating high levels of discretion and awareness, and confidence to expedite where necessary.
Manage VIP events and ad hoc VC's office projects.
Any other duties commensurate with the grade as requested by the VC.Requirements:
Educated to minimum A level standard
Excellent interpersonal and communication skills to establish professional and credible relations with senior stakeholders, staff, students and external contacts
Previous experience of working as a PA/Secretarial role at a senior level
Previous experience of managing a team
Able to use own initiative to find improved ways of working and using professional judgement in responding effectively to fast changing priorities or unexpected situations.
Also able to build effective working relationships and work across teams
Ability to deal with a wide range of correspondence, research and prepare reports, briefings and complex responses using a range of IT packages to a high standard.
