Receptionist (Concierge)
Location: High Wycombe
Salary: £18,200
Contract: Permanent
Always seek to enhance the student experience by providing reception services, supporting key university events, undertaking room management and set ups, provide portering services, provide mail collection and distribution services, manage lost property, support and instruct other contracted services and support the delivery of all services to the Bucks New University Student properties.
Duties:
* Support all events undertaken by the University and be the key point of contact for the Universities Accommodation Team
* Manage the office or reception area while on duty
* Ensure the office/reception area stays clean
* Maintain notice boards in the office/reception areas ensuring all information is up to date and provides students and visitors with all important information and communications.
* Manage, support and co-ordinate student and commercial arrivals, departures and all other room changes that occur throughout the year
* Introduce themselves to students as soon as possible after they have moved in to ensure they are familiar with the services provided by concierge staff
* Sign Student's visitors in and out of the premises, ensuring all visitors are aware of the rules of the residence
* Respond to enquiries from Students and the public in a helpful and friendly manner
* Undertake accommodation checks to ensure rooms being kept to an acceptable standard, occupied or vacated
* Operate the telephone/email system and respond to telephone/email enquiries
* Ensure that all residents and visitors comply with the rules and procedures of the accommodation. All non-compliant behavior must be formally recorded and included in the handover with the security team.
* Identify residents and their visitors who are not complying with their tenancy/license agreement and liaise with University management
* Manage and escort onsite contractor visits and activity ensuring all contractors are provided with a H&S briefing and access to areas needed to complete works and services
* Ensure that at the end of and beginning of each day there is a formal handover undertaken between the Concierge Service and the Security Service
* Support the FM Hard Services Maintenance testing regime by collating and reporting information when necessary
* Maintain records and information of student arrivals and departures
* Manage the issue and collection of keys/fobs/access technology to Students
* All keys must be kept in a secure environment
* Manage lost property ensuring that a log is maintained and that lost property is stored safely
* Obtain a signature and IC number before returning lost property to the owner
* Set up rooms according to the Employer's published room booking timetable and in accordance with the Employer's standard layouts
* Ensure rooms are clean, tidy and in the designated layout prior to the first timetabled use of the room
* Undertake ad hoc room set up at short notice and in response to quick turnaround times
* Manage deliveries and collections of items arriving at University properties
* Organise delivery and dispatch of linen and laundry items, bulky items and / or heavy items to and from customers and suppliers
* Support the students to move in at the beginning of the academic year and move out at the end of the academic year
Mail Services
* Accept deliveries including but not limited to small items of mail, parcels and packages
* Deliver mail to the correct student mail points
* Collect outgoing mail from student mail points and prepare for transfer to the Royal Mail
* Ensure that doors and gates are locked, that the entrance is monitored and that access to the building is controlled
* Respond appropriately to any fire or intruder alarms
* Respond within a reasonable timescale to any reports of incidents/accidents
* Produce a written report of all incidents/accidents reported and witnessed, containing known facts, actions taken and detailed timings
* Request assistance from emergency services as appropriate and assistance to enable any victim of crime to report the offence to the Police
* Liaise with the Police about all alleged criminal incidents involving students and their visitors, and assist the Police in any subsequent enquiries, as appropriate
* Be alert to any signs and indicators of abuse or harm towards students. Report in the handover any suspicion that a young person has been abused.
* Ensure that the premises are treated with respect by students and members of the public, noting breaches of this in the handover to the security service
General requirements
