Office ADMINISTRATOR REQUIRED
Our client on the HS2 is looking for an ambitious individual to assume the role of Office Administrator to provide a professional, proactive, and first class support to senior management across the project.
Duties:
* Answering calls, taking messages and handling queries
* Ensuring all visitors are made to feel welcome
* Accounts filing and general office duties
* Any other duties commensurate to your role
* Assisting and managing Director’s Diaries
* Data input, data extraction, photocopying, faxing, scanning, filing and typing duties as requested
* Dealing with internal and external post and emails on a day to day basis
* Maintaining accurate, timely and legible records, both paper based and electronic
* Ordering and maintaining stocks of photocopying paper and printer consumables
* Assisting with solving daily maintenance issues/problems
* Answering/dealing with queries, both face to face and via the telephone, taking messages and passing them on to the relevant member of staff in an appropriate and timely manner
* Providing general secretarial support.
* Ensuring office functions run smoothly.
* Assisting with typing letters, reports and submission of documents as when necessary.
* Assisting with the preparation of weekly invoices.
* Creating and maintaining project information.
* Overseeing submission of team timesheets and chasing team when necessary.
The ideal candidate :
* Friendly, welcoming and approachable with a can do positive attitude
* Experienced in using Microsoft Office (Word & Excel) and Outlook
* Willing to learn new tasks, take on new challenges and grow with the role
* Able to work as part of the team as well as use own initiative to get things done
* Excellent attention to detail
* Good interpersonal and communication skills and the ability to manage information confidentially
* Ability to work with limited supervision but seek advice when appropriate
* Able to work on your own initiative in a fast-paced environment, often unsupervised and be able to prioritise effectively
* Trustworthy and loyal
* Excellent telephone manner and well presented
* Well organised and able to think outside the box and improve tasks
* Excellent ability to prioritise and manage time effectively
* Enthusiastic with a willingness to learn
