An efficient country minded Office Administrator is sought to run the property and office administration of this Private Estate in rural Buckinghamshire (North).
Based from of the estate office, which plays a central part for all of the onsite (and a few offsite) operations including the estate itself, farming, a large property portfolio, events and country sports, the ideal candidate will have great get up and go and be confident to prioritise a varied workload. This is a multifaceted role that requires meticulous attention to detail, superb manners and a positive approach. You must be able to think on your feet and help out wherever needed within a small busy office.
This is a job for a very competent organiser who has at least a couple of years work experience; ideally you will have some knowledge of the property / estate / agricultural world.
Your duties will include but not be limited to the following:
Office Administration
* Acting as the first point of contact for all enquiries, in person, on the phone and online
* Liaising with the National Trust
* Preparing paperwork for monthly, quarterly, and annual trustee meetings
* Typing letters; HR letters, personal and professional correspondence
* Ensuring staff employment records and paperwork are up to date
* Managing timesheets for casual staff
* Business and private PA duties to Managing Partners when required including travel arrangements; flights, hotels, taxis etc.
* Supporting with finance admin tasks; coding invoices, raising invoices
Property & Facilities admin
* Property management of a suite of properties including long and short-term tenants, holiday lets and various commercial properties
* Working closely with Estate Foreman to arrange repairs and maintenance works
* Instructing contractors for maintenance/gas certs/oil service etc.
* Advertising properties and carrying out viewings of properties to let. Process references for potential tenants.
* Arrange Energy Performance Certificates, Fixed wire tests and annual servicing schedules i.e. oil, gas etc. and ensure these are all produced or renewed as required.
* Updating TDS, preparing certificates and returning deposits. Ensuring contractors H&S And PLI are kept up to date
* Assisting the Operations Manager where necessary with any H&S administration tasks including the liaising with external H&S support.
This is a terrific opportunity for a very capable Office Assistant who enjoys juggling multiple projects, and interacting with a vast array of individuals of all ages and stages and being part of a close knit "family" team
