My client is looking for a Regional Administrator to join their head office in Bourne End.
You will assist the Divisional Director in the smooth and effective administration of the South/South-East business. Coordinating a team of engineers to ensure service visits are scheduled and reactive call-outs are dealt with in a timely manner.
The successful candidate will be an enthusiastic person with good customer handling skills, as this role will involve large volumes of telephone and email contact with our customers and field engineers.
An organised mind and friendly approach will help you integrate into our existing team.
Previous experience working in a service environment would be beneficial, however, your enthusiasm to learn and good customer handling skills are as important to us.
Job Description: 37.5 hours per week Regional Office Duties:
• General office administration duties
• Processing Purchase Orders through our WorkFlowMax system
• Keeping Orderbook up-to-date
• Placing Purchase Orders for parts
• Scheduling of engineer’s diaries
• Scheduling of maintenance visits
• Regular communication with customers (confirming visits etc.)
• Submitting engineer’s reports/quotes within an agreed timeframe
• Posting engineer’s timesheets weekly
• Reacting to callouts
• Submitting RAMS as required
• Maintenance contract renewals
• Raising invoices following completion of works
• Approving supplier invoices and return to Head Office
• Check and log expenses on Xero accounting system
• Check and confirm overtime prior to submitting
• Assistance to the Divisional Director as required Month End Duties:
• Follow all Admin deadlines for month-end • Sales invoicing
• Reviewing Job Profitability Report
• Reconciling order books to Job Profitability Report
• Rolling over order books once reconciled
• Completing Non-Productive labour spreadsheet
• Completing WIP Journal Qualifications and Experience:
• Good communication skills
• Five GCSE qualifications at level A to C including Maths & English
• Good IT skills including Word, Excel, PowerPoint, Access & Works including site specific PPM systems & BMS
• Good telephone manner
• Good timekeeper
• Able to work as part of a team
• Conscientious
• Able to work under pressure and to defined deadlines
• Basic understanding of Quality Assurance and service delivery
• Good interpersonal and customer relationship skills
