Scope & Purpose
As a Personal Assistant, you will be required to provide a professional and efficient support service to the Directors and the executive team, ensuring that all administrative activities are completed accurately and effectively. We are seeking a brilliant multi-tasker; this job role is wide ranging. From organising diaries, departmental report tracking and system admin to business updates and assisting with sales and projects, as a Personal Assistant you can expect to enjoy a busy but varied day.
Person Specification
* Experience of working in a standalone role.
* Ability to work under pressure and deal with high volumes of work.
* Background of supporting senior executives and senior directors.
* Experience of dealing with confidential matters.
* Adaptable to business change
* Evidence of achievement within a commercial environment
* Ability to multitask
* The ability to establish professional and appropriate relationships with Senior management
Primary Competencies
* Coordinate the director’s day to day business, liaising with other members of the team as required.
* Manage the diaries of the director & executive team to maximise the efficiency and contribution made to the company.
* Organise travel arrangements, accommodation, and other bookings.
* Liaising with senior management and project teams with regards to billing and making sure the teams are on track to hit monthly targets.
* Gathering information from all departments for a monthly business update.
* Take messages, respond to emails, and check post and pass on as soon as possible.
* Making sure all departments are suppling weekly reports to the executive team.
* Provide any additional ad-hoc support to the executive teams.
* Support the operations teams on a daily basis, with reporting and assisting in resolving issues
* Support the sales & marketing team with reporting and administration of the sales process

* Ability to communicate with absolute clarity to clients and internal staff.
* Excellent rapport building skills with a flexible, supportive, and polite approach.
* Display an element of commercial acumen.
* Good negotiation skills
* Ability to work alone and in a team.
* Able to plan and prioritise high volumes.

* Proficient in MS Outlook, Word, PowerPoint, Excel & ZOHO product suite
* Efficient typing speed and ability to dictate letters and correspondence.
