Main Job Purpose
To provide a first class service to visitors, clients and staff as the first point of contact to our clients.
Key Duties
General Reception:
Receive visitors and ensure the Partner/PA and/or the Manager is immediately aware of their arrival.
Ensure messages are taken and passed on correctly.
Receive the post and deliver it to the team appropriately.
Manage the telephone list when new team members join.
Manage the signing-in sheet for the company and other companies (tenants) using the building; as well as the visitor signing in book.
Manage the Hughes (Mercedes) car-park allocation and visitor parking.
Frank the post accordingly, deal with registered deliveries as appropriate, ensuring each transaction is logged in the records.
Purchase meeting and team lunches as required.
Set-up meeting rooms and ensure they are stocked with appropriate notices, telephone list, sugar, glasses, water & pens.
Organise engineer call-outs, book couriers and taxis.
Ensure reception area and meeting rooms are kept tidy, free of clutter and have adequate stationery supplies
Book meeting rooms, liaising with the other team members
Other ad-hoc administrative duties as required
Check stock and control the ordering and storage of supplies of stationery and toner cartridges as required

Enthusiastic and flexible attitude to work
IT Skills – Competent at Microsoft Excel, and switchboard
