Overview
Pertemps Recruitment on behalf of Buckinghamshire Council has an exciting opportunity for a strong Administrator to join the Legal Support team in their Aylesbury office (HP20 area). Working alongside the Practice Management Team Manager you will play an important role in providing an efficient, confidential and knowledgeable legal support service, delivering the day to day administrative functions of Legal Services with the Legal Practice Manager, to provide a high level of customer service to Legal Services staff, clients and visitors, and to support all Fee Earners with legal administration work and to co-ordinate and prepare court bundles for the Legal Social Care Teams.
About the role
As a Legal Administrator you will have a number of responsibilities including, but not limited to the following:
To undertake specific legal administrative support duties including using the legal Case Management system to prepare bundles for court; monitoring the Legal Support and other legal Mailbox; maintaining centralised diaries; maintaining the undertakings register; preparing documents for sealing; liaising with the Court etc.
To act as a first point of contact for enquiries to Legal Services including answering telephone calls, emails, written queries and enquiries, forwarding a message to relevant colleagues ensuring clear, accurate and consistent messages are taken/given.
To receive visitors/clients to the office and assist with escorting visitors to the correct meeting area and informing colleagues that visitors have arrived.
To set up appointments, maintain the Legal meeting room booking diaries, book meeting rooms for colleagues and assist with scheduling meetings and events for Legal Services liaising with other venues when necessary.
To provide support to Legal Services during/after meetings as appropriate and agreed with the Legal Support Manager including taking minutes as required.
To undertake general administrative duties including, but not limited to filing, photocopying, printing, collating papers and generating standard documents on the legal Case Management system etc.
To use a Purchase Card and handle petty cash securely according to defined procedure.
To be responsible for the collection, receipt and the sorting and distribution of incoming, outgoing and internal post and for postal record keeping, taking responsibility for action in line with business processes.
This is a temporary position until mid-May, though there is potential for this to be extended further. The pay rate is £12.48 per hour, and you will be working full time, 37 hours per week.
The Aylesbury office is conveniently situated in the town centre (HP20 area) with great transport links including a local train station and excellent road connections to the M25, M1, M4 and M40
About you
Due to the sensitive nature of the work involved in this role, a DBS check will need to be obtained prior to starting in this role, which will be at the cost of the applicant.
The successful candidate will be well-organised, able to work to deadlines and have an understanding of general administrative procedures.
You will need to have good communications skills and a good attention to detail, with the ability to work independently and as part of a team
You will need to be competent with IT systems
Experience of a case management system would be an advantage
