Our Milton Keynes Based Client is looking for a Lead Receptionist/ Administrator.
Hours of work 37.5, 8:30am – 5:00pm 1 hour unpaid lunch, Monday – Friday
£11 per hour
Job Summary
To be responsible for the leadership and supervision of a team of receptionists, ensuring all reception duties are performed effectively and to the required standard, meeting the objectives. Support the management team in promoting Equality, Diversity and Inclusion, H&S, Confidentiality, Collaborative Working, Service Delivery, Learning and Development and carry out other duties as directed by the management team.
Primary Responsibilities:
Produce, maintain and participate in the receptionist rota for lunch, out of hours, holiday and sickness cover
To line manage the Medical Reception team with 1:1’s, appraisals and absence monitoring with support from the practice Manager
Management of the appointment system
Monitor stock levels, usage and re-order requirements of stationary, cleaning, refreshments and sundry items
Adhoc support duties or other reasonable tasks as set out by practice manager
Support reception staff development, providing guidance and direction, ensuring staff are up to date with mandatory training and Identify and provide team training where required
Ensure the completion of opening and closing procedures in accordance with policy
Ensure an effective and efficient reception service is provided to all clients and any other visitors.
Answer incoming phone calls, transferring calls or dealing with the callers request appropriately, take messages, ensuring accuracy of detail and prompt appropriate delivery.
Deal with all general enquiries, explain procedures and make new and follow-up appointments.
Partake in audits as directed by the audit lead

Maintain practise supplies and ensure building is kept clean and tidy
Ensure that all new patients are registered onto the computer system promptly and accurately.
General administration duties
Process incoming mail i.e. open, date stamp and distribute.
Monitor and maintain the reception area and notice boards.
Actively participate in Practice Training to ensure you provide a high level of service for the practice.
Monitoring and ordering of supplies (path lab)
Premises security
The Successful candidate will have:
A strong customer service background
Some reception experience desirable
Previous experience of working in a surgery and health care industry advantageous
Experience of working in a busy role
Be approachable and able to influence those around you
Have an eye for detail and excellent accuracy
Be able to find solutions and action them effectively
Possess experience of using SYSTMONE (not essential)
Have great attention to detail
Have the ability to adapt to all situations
Be a great team player
Work independently, using own initiative
Be required to undergo a DBS Check
