Assist the Transport Manager in the day-to-day running of the commercial vehicle fleet. Responsible for ensuring that the overall administrative activities of the Legal and Compliance department comply with the conditions of the Company’s Operator’s Licence.The core competencies for this role are:

KPIs
* Drivers have returned all their tachograph charts and digital downloads within 42 days of their completion
* Vehicles fitted with digital units have the data downloaded within 90 days
* All drivers have up-to-date driving licences, smart cards and driver qualification cards and these are checked at least every six months in line with the expiry of their Photo ID cards
* Ensure drivers records of working time are returned weekly and inputted to spreadsheet
* Ensure all vehicles entering London have Direct Vision permits
Desirable Qualification / Experience Requirements
* CPC in Road Haulage Operations or working towards
* Minimum one year’s experience in a transport office
Main duties and responsibilities:
1. Maintain filing systems and ensure they are updated and accurate at all times.
2. Check all drivers are using the vehicle defect report system (CheckedSafe) and reporting to managers those that fail to do so.
3. Assist in the production of the weekly reports to include status on the retrieval digital downloads both from drivers and vehicles.
4. Liaise with driving agencies to ensure tachograph charts and digital data from agency drivers are recovered and that there is an audit trail for this process
5. Assist in the induction of new drivers, checking driving licences, driver smart cards, driver qualification cards and DBS certificates
6. Keep up-to-date information on hire vehicles – on and off hires and ensure all relevant vehicles comply with Congestion Charge Zones, LEZ / BEZ regulations and direct vision permits
7. Where applicable, ensure that vehicles are correctly specified on the operator’s licence and are displaying their operator’s licence identity discs and the vehicles are locked-in
8. Assist with Insurance administration and accident claims including updating of the motor insurance database in a timely manner
9. Ensure deferred vehicles are SORN’d when VOR’d
10. Advise Operation staff on correct documentation for drivers and vehicles working abroad
11. Ensure PCN’s / fines and all other driver / vehicle related offences are dealt prior to fine escalation
12. Assist with training for drivers and internal staff where required
