Are you an experienced Facilities Coordinator looking for a new opportunity?
The Facilities Co-ordinator will be responsible for the ongoing support of the Regional Facilities Managers and Head of Facilities.
In what will primarily be a back of house (BOH) support role for the Facilities Team, you will be responsible for administrative support across property & facilities management systems, the monitoring of spend, KPI's & SLA's and supplier performance.
You will have a keen eye for detail and a strong record of data analysis using Microsoft platforms such as Excel & PowerPoint as you will be needed to help drive consistent reporting formats for the facilities team and the wider business.
Ongoing Project management support for the facilities team will play a key part of the role from managing administrative tasks and tracking, acting as supplier liaison where required and pulling together necessary files for review and due diligence to support the overall project.
To collaborate with and support the Audits & Compliance team, taking ownership of tracking actions assigned to the Facilities Team so they're closed out in a timely manner.
Support the Regional Facilities Managers (RFM) in monthly site meetings, ensuring key content is readily available and up to date for sharing with the business.
Provide ongoing project support for Facilities Management & Property across small works and major projects.
Assist the Head of Facilities on any tender and costing activities for major works across the estate.
Prepare any supporting or tender documentation in line with in-house procurement processes.
Assist with providing budgetary oversight & tracking of FM spend (Monthly / periodic updates for FM Budget) to ensure cost effectiveness.
Support retention of compliance standards across the estate via our Computer Aided Facilities Management (CAFM) System – Elogbooks.
Drafting of reports & presentations to support the Facilities Team on a periodic and ad-hoc basis.
To act as a key supplier liaison for all contract renewal & amendment works including updating of schedules, services and terms.
Co-ordinate monthly reports and quarterly meetings with key suppliers for ongoing performance updates into the business.
Supporting the Head of Facilities on future property development in line with strategic business objectives.
Provide administrative support and tracking for estate scope of services and on the commercial builds in collaboration with Finance Teams.We welcome applications from candidates with any of the following skills or attributes: Facilities, coordinator, administration, data analysis, Microsoft, IOSH

Essential Skills
IOSH Working or Managing Safely Level 3 Award in Health and Safety (Desirable)
Experience using Elogbooks or widely used CAFM Systems (Desirable)
1 year minimum experience in a relevant field such as Facilities, Estate, Property or Office Management (Required)
