Pertemps Recruitment on behalf of Buckinghamshire Council has an exciting opportunity for a strong Administrator (Business Support Officer) to join the Adults Assessment team in their High Wycombe office (HP11 area). Working alongside the Business Support Co-ordinator you will play an important role in providing an effective and efficient administrative support service to operational teams within the Council, ensuring all functions are carried out to a high level of accuracy. You will also play an active part within a dynamic team, working flexibly to ensure continuous cover and support is provided to the operational teams as directed by the Business Support Coordinator / Operational Services

About the role
As a Business Support Officer you will be responsible for the following, though training will be provided for specific tasks
Booking accommodation and taxis
Arranging emergency furniture for clients e.g. cot, baby pram, bed etc.
Answering calls for the team and on other occasions covering the calls for our counterpart teams
Strategy minute taking – Which needs to be provided to the chair (Manager/Assistant Manager – whoever leads the meeting) within 24 hours
Organising strategy meetings
Sending agency check to professionals for strategy meeting
Agency checks (S17 & S47)
Distributing closure letters to professionals & parents
Interpreter bookings
Clearing the secure mailbox – saving agency check replies/ TVP report/ ambulance report/AMRF referrals etc.
Finance – Invoice (SAP) & Controcc payment – setting up vendor on SAP & controcc
Assisting with the New starter process – arranging swipe badges/laptop equipment/ parking forms/ solo protect & showing round etc.
Setting up MS Team meeting invites & supervision group meetings
IHA Assessments – sending to health, updating spreadsheet & LCS
Transfer list – putting information together to send to Help & Protection team
Update telephone directory
Visit date & out of scale assessment data provided to all managers in the team & Social Workers
Arranging food parcels/food vouchers
Organising emergency cash payments
Sending documents to the legal team, for court
Updating demographics
Providing training to colleaguesThis is a temporary position until March 2023, though there is potential for this to be extended further. The pay rate is £12.48 per hour, and you will be working full time, 37 hours per week.
The High Wycombe office is conveniently situated in the town centre (HP11 area) with great transport links including a local train station and excellent road connections to the M25, M1, M4 and M40
About you
The work of the team is varied and fast-paced so we are looking for a strong candidate who is resilient and can multi-task. Minute taking is a big part of this role so we require someone with previous minute taking experience who has attention to detail and strong communication skill (both written and verbal)
You will need to be empathetic with our service users and able to use your initiative when dealing with queries.
You will be motivated to make a positive difference for our members and want to deliver total satisfaction.
Bringing excellent ICT skills, you will have experience of standard packages, including MS Office, Excel, and may include use of bespoke databases etc.
Due to the frequent liaison activities, excellent written and verbal communication skills are essential.
You will need to be highly accurate with attention to detail. You must be able to prioritise and work to deadlines.
You take responsibility for your work and are trusted to perform your job to the best of your ability.
