The Position
To support and facilitate the Contract Manager planning and allocating repairs, minor adaptations, quoted works with the aim of minimising turnaround time.
The role is fundamentally responsible for coordinating the administrative functions and for effective liaison between the Repairs section and the client officers.
Reporting directly to the Contracts Manager, you will be tasked with ensuring daily routines are performed efficiently.
Company procedures are followed and completed to designated deadlines on a daily basis.
The role will require good IT skills proficient in excel/ word and would be beneficial if familiar with One Serve (Cloud based field management software)
Possess excellent communication and organisational skills with the ability to work under their own initiative.
Duties/Responsibilities
Generate all new works orders for your contracts on the One Serve system. Create job packs for each job including an additional copy of the void specification works.
Job reporting to clients and requesting follow on works , Actioning sub-contractor quotes and issuing to clients for approval.
Process the repairs received from the client by booking them into a tracker and liaising with the DLO and subcontractors when in receipt of EME orders.
Make appointments for access with tenants where required.
Update the client spreadsheets as required and carry out Customer satisfaction surveys .
Raise all follow up work required in a timely manner and ensure clients are consulted with regard to any delays or changes in completion timescales. This is to include noting and issuing further instruction via the Contract Manager of any recall works.
Liaise with the Contract Supervisors on a daily basis & update the works orders. Report any problems/early warnings to the Contract Manager.
Answer day to day queries via email, phone and/or post relating to the contracts under your care.
Complete all filing and administration duties for all assigned contracts.
To provide administration cover on other contracts during staff absence/holidays if and when required.
Responsible for any other procedure deemed necessary on an ‘ad hoc’ basis by the Office Assistant Manager.
