We are looking for an experienced Practice Manager to join one of our Milton Keynes-based GP Surgeries on a permanent full time basis.
Position: Practice Manager
Hours: 5 days per week (37.5 hours)
Salary: £28,000 to £35,000 per annum (D.O.E)
Key responsibilities:
Human Resources
Support and uphold an open, positive, and honest working culture
Identify personnel requirements, select, and recruit suitable staff
Supervise and support staff; allocate work and assess performance
Manage any grievance and disciplinary issues with the support from HR
Monitor and evaluate the performance of the Practice team against objectives
Recruitment of Clinicial and Non-Clinical Staff
Support the parent company in all processes pertaining to the recruitment of clinical and non- clinical staff being responsible for the recruitment, training, supervision of staff whilst managing the staffing levels with the target budgets
Ensure that all staff are legally and gainfully employed
Organise and oversee staff induction and training and ensure that all staff are adequately trained to fulfil their role
Support and mentor staff, both as individuals and as team members
Ensure the maintenance of up-to-date HR documentation, including job descriptions, employment contracts and employment policies and provide copies to HR
Management and Planning
Keep abreast of current affairs and identify potential threats and opportunities
Contribute to Practice strategy; formulate objectives and research and develop ideas for future Practice development
Monitor and evaluate performance of the Practice Team against objectives; identify and manage change
Prepare and annually update the Practice Development Plan; oversee the implementation of the aims and objectives.
Finance
Identify opportunities to seek to maximise income
Work with the relevant authorities to ensure the Practice receives an appropriate and equitable allocation of resources
Keep abreast of any contract and legislation changes that may have financial implications to the Practice
Responsible for providing the monthly wage data to HR to ensure the correct processing of salary, pension, and tax arrangements for employed staff
Keeping appropriate records of all business transactions and be responsible for monitoring expenditure
Manage appropriate systems for handling and recording of cash, cheques, and petty cash
Premises
Ensure building security is maintained – have thorough knowledge of Practice shut down procedure and setting of alarms
Train reception administration staff in the operation of the out-of-hours procedure
Be a key-holder for the alarm
Maintain and implement the Practice health & safety policy
Maintain adequate stocks of stationery and clinical supplies
Monitor the effective operation of equipment in the surgery and act upon reported defects
Monitor the cleaning maintenance of the building and ensure it is kept to appropriate standards
Organisational
Attend meetings requested by the parent group, circulating the agenda in advance, keeping, and circulating minutes, and ensuring action points are done
Organise and attend Practice meetings, prepare agendas, and ensure distribution of minutes as necessary
Co-ordinate and invite external people to scheduled meetings (including MDT, Safeguarding, Palliative Care meetings, etc.)
Develop Practice protocols and procedures, review and update as required
Ensure that Practice premises are properly maintained and cleaned, and that adequate fire prevention and security systems are in place
Develop and review Health & Safety policies and procedures with HR
Ensure that the Practice has an adequate disaster recovery procedure in place and is regularly reviewed, in order to respond to major incidents and pandemics
Patient Services
Always ensure compliance with Patient confidentiality in line with current legislation
Maintain an accurate and efficient appointment system
Organise surgery timetables, extended hours, and access rotas as necessary, as well as holiday and sickness cover
Ensure adequate staffing levels are maintained and provide advice on allocation of rooms and accommodation
Provide and manage an effective in-house complaints procedure
Quality Assurance
Ensure that the services provided are fit for purpose and meets Patient expectations providing training when any changes are implemented to ensure quality services and to produce data/reports Practice performance against set objectives
Information Technology
Be the Practice lead for Information Technology (IT)
Ensure the practice meets it statutory duties regarding IT compliance
Maintain the computerised medical database on SystmOne
Be fully competent in the clinical system specific IT Training competencies (e.g., SystmOne)
Oversee IT training for staff, and train staff when required
Be responsible for managing NHS email accounts and smartcards
Assist in the monitoring of the NHS e-Referral service in accordance with Practice procedures

Assist with the parent company in the development, review & update of Practice protocols, as required
Key Skills and Experience:
Evidence of a commitment to continuing professional development
Previous GP Practice Manager experience
SystmOne (Essential)
Excellent written and verbal communication
Negotiation and conflict management
High level of interpersonal skills/emotional intelligence ensuring the welfare of patients is handled in a mature, friendly, confident, and caring nature
Able to lead and direct supervision and determine own workload priorities
Ability to work under pressure and to meet deadlines
IT skills including expertise in the use of Microsoft Office products
An understanding of financial issues in relation to the running of a practice/business
Ability to motivate, inspire and empower teams
A Professional approach
Experience in dealing with external organisations at management level
