Purpose of Job
You will be part of a maintenance control team, providing an efficient, customer focused 24-hour, 365-day breakdown service. To authorise maintenance and mechanical repairs on all commercial vehicles. To recommend payment of supplier’s invoices, keeping costs to a minimum without adversely affecting safety standards, customer acceptability and manufacturers requirements or fleet quality.
Key Features
– The job holder will be required to receive and initiate breakdown assistance with appropriate urgency, making sure that the customer and operating branch is kept informed at all stages of developments.
– The job holder authorises repairs and servicing on trucks, trailers, vans and other associated equipment e.g. Tail lifts and refrigerated units. Each request requires a check against the asset’s maintenance record (held on the computer database) prior to issuing order numbers to ensure that the particular repair is necessary checking history, warranty parameters and identifying any failures caused by operational error or abuse.
– The job holder will use their judgement ensuring that that repairs meet all safety and Department of Transport legislation before leased from workshops.
– All repairs are monitored and chased till completion.
– In cases of warranty, the Maintenance Controller will follow the documented procedures, liaising with the Manager where necessary.
– Maintenance Controllers set financial and time limits on repairers based on manufacturers standard times and their own experience.
– Each repair/service is entered on to the computer using appropriate component codes. Items which need repair due to driver misuse or damage must be referred to the relevant departments notified to process claims.
– The job holder applies the same disciplines to customer managed vehicle’s ensuring authorisation is sort where required.
– The job holder will cost and code invoices checking that invoices match order given prior to authorising payment.
– Each repair authorisation is checked on receipt of the invoice to verify that the order matches and order is complete regarding and outstanding actions.
– The job holder ensures that e-docs service documentation management system is regularly checked, and outstanding documents are assessed for compliance and if not, complaint returned to the supplier documenting all actions.
– From time to time the job holder may be required to be flexible to participate on other tasks as business demands.
Knowledge & Experience
– Preferably good knowledge of motor vehicle repairs, transport or similar, relatable experience, we will consider other sections of the industries such as parts, workshop service, and those that have worked in a call centre environment.
– Excellent telephone manner, proven customer service skills, ability to think and react quickly.
– Numerate to the extent of calculating costs quickly and accurately.
– Good keyboard skills and computer literate.
Hours of work 8am – 6pm with 1 hour for lunch + working 1 in 3 Saturday mornings for 4 hours
