e-Rostering Implementation Advisor – Band 6
The post holder will work with internal and external stakeholders to ensure the delivery of the project and support the Trust response to any external reviews e.g. commissioners. They will also work closely with:
* Implementation team- central and divisional level
* HR Teams – Temporary Staffing, Workforce Information and ESR Team, Recruitment, Medical HR and HR Best Practice
* Finance teams and other corporate functions
* Clinical and Non-clinical managers
* Software providers
* Clinicians, Specialists and other relevant staff
Location: Mix of home working and on site – Aylesbury, High Wycombe & Amersham
Temporary: Expected to last for until the end of March 2022
Pay Rate: Up to £19.40 PAYE Inclusive or £22.50 Umbrella depending on experience
Full Time: Mon to Fri, 37.5 hours per week. (9am to 5pm or 8am to 4pm)
Main Duties and Responsibilities
General:
The role encompasses engaging, implementing, training, coaching and supporting managers and end users in the use of eRostering to ensure a sustainable and effective successful implementation of e-rostering across the Trust.
* Work effectively with departments to identify and input all relevant data into the eRostering platform.
* To be the central administrator for the system and work closely with the ESR Team, Payroll Team and existing e-rostering team to resolve any issues that arise.
* Identify key areas within departments that may require support and provide or make arrangements for support as appropriate,
* Support Clinical teams to develop local project plans, aligned with the overarching project governance structure and plan.
* Understand project objectives and provide assistance in monitoring and measuring success criteria and key performance indicators
* Maintain project documentation and audit documents at regular intervals and make relevant updates.
* Support in developing processes and guidance material related to the eRostering system.
* Identify training requirements and plan regular training and support sessions for staff
* Develop and deliver training to all users and key stakeholders as required.
* Be the first point of contact and provide support and advice to all users during the implementation process.
* Implement the roll out of eRostering to new areas in a timely manner, in line with the project implementation schedule. Support staff with managing the change to electronic roster including leave and absence management/
* Evaluate end-user’s understanding of procedures and determine which users require additional training.
Communication
* Communicate appropriately with users, providing clear advice and information.
* Support in communication of the new system using various internal methods such as notice boards, the intranet, and bulletins.
* Supporting communication between the external provider team and end users.
* Provide regular update reports regarding attendance, issues arising from implementation and training.
Systems and Data Management
* Be an expert user of the eRostering system, ensuring consistent and comprehensive data gathering, roster build from end to end and data entry for each departmental implementation.
* To support the development of quality rosters, using organisational KPI and take the necessary steps to advise on improving rosters.
* Reporting and Analysis
* To support timely and accurate information analysis and reporting, and present findings in an agreed manner.
* Ensure that reports are run and processed in a consistent manner across the Trust.
* Produce reports for the departments as well the project team and key stakeholders as appropriate.
* Support the e-Roster Project Implementation Manager by updating any project evaluation including any risk and issues log and other project documents.
* Escalate as required should there be any risks to the delivery of key targets, with suggested actions for resolution
